Vendor management software: how to choose the right kind.

Vendor management software is a system of record for the companies you buy from: who they are, what they can access, how risky they are, what your contracts say, and what you have done to check them. Three quite different kinds of product are sold under the same name, though, and picking the wrong kind is the most common buying mistake. This guide explains the difference, the features that matter, what it costs, and where Vendorapp fits.

The short answer

What vendor management software does.

Vendor management software replaces the spreadsheet, shared drive and inbox that most companies use to track their vendors. At minimum it gives you one register of every vendor, a risk rating for each, their contracts and renewal dates, and a record of every check you have made. Better tools add automated screening, ongoing monitoring and alerts, and exportable evidence for audits and customer due diligence. If you are new to the discipline itself, start with what is vendor management?

Know what you are buying

Three kinds of software share the name “vendor management system”.

Search for “vendor management system” and you will see products that solve unrelated problems. They are all legitimate; they just answer different questions.

KindThe question it answersExamplesChoose it if
Contingent-workforce VMSHow do we hire, pay and track contractors and temporary staff through agencies?SAP Fieldglass, BeelineYou engage contractors at scale through staffing suppliers
Procurement and supplier managementHow do we source, approve, order and pay for what we buy?SAP Ariba, Coupa, IvaluaYour problem is spend control, purchase orders and invoices
Vendor risk and third-party risk managementWhich vendors could hurt us, what have we checked, and can we prove it?Vendorapp, Vanta and Drata vendor modules, ProcessUnity, OneTrustYou need evidence for an audit, a regulator or a customer’s security review

Some tools straddle two kinds: contract-and-vendor lifecycle platforms such as Gatekeeper combine contracts, spend and vendor screening. If audits, security questionnaires or regulation are why you are looking, you want the third kind. For thirteen of those tools compared side by side, see the best third-party risk management software.

Features that matter

What a vendor management platform should do for a compliance-led team.

Foundation

One vendor register

Every vendor in one place with an owner, purpose, data and system access, contacts and status. Adding a vendor should take seconds, not a form.

Foundation

Risk classification

A risk level for every vendor, ideally both inherent (before controls) and residual (after), with the reasoning recorded.

Due diligence

Automated screening

Sanctions and watchlist checks, security posture and breach history, without emailing a questionnaire for every low-risk tool.

Contracts

Contracts and renewals

Contracts and DPAs stored against the vendor, key terms extracted, and alerts before renewal and notice dates.

Ongoing

Monitoring and alerts

Scheduled reviews by risk level plus alerts for breaches, sanctions changes and expiring contracts between reviews.

Evidence

Audit trail and export

Every assessment and change timestamped and attributed, exportable in a form an auditor or customer will accept.

Two more are worth checking: whether the tool keeps an offboarding record when you stop using a vendor (see vendor offboarding), and whether it shows your vendors' own suppliers (see fourth-party risk management).

Before you buy

Questions to ask every vendor management software provider.

  • Is the price published, and what does it include? Are monitoring, API access or extra users add-ons?
  • How long until we have our full vendor register assessed and classified: a day, a week or a quarter?
  • What evidence can we export, and has an auditor accepted it before?
  • How many vendors does each plan cover, and what happens when we grow past it?
  • Can colleagues outside the core team view vendors without a paid seat?
  • Which sanctions and watchlists are screened, and how often?
  • Where is our data stored, and what certifications does the provider hold itself?
  • Does it work alongside the compliance platform we already use, or replace part of it?

What it costs

Vendor management software pricing, in plain numbers.

Most vendor risk platforms do not publish prices. Enterprise tools are quote-only and often add implementation or managed services, and compliance suites tend to sell vendor risk as a module or add-on. A published price is rare in this market, so treat a quote-only price page as a signal about the sales process as well as the number.

Vendorapp publishes its plans. Monthly prices, in US dollars:

PlanPrice per monthActive vendorsBest for
BasicFree foreverUp to 15Getting a first register in place
Startup$149Up to 150Startups heading into a first audit or enterprise deal
Advanced$259Up to 500Audited and regulated teams; adds compliance readiness
Expert$599UnlimitedLarger programmes; adds subprocessors and SSO

Yearly billing is cheaper; see pricing for the full comparison of agents, viewers, contracts and AI pre-screens per plan.

Where Vendorapp fits

What Vendorapp is built for, and what it is not.

Vendorapp is vendor management software of the third kind: a vendor and third-party risk platform for startups and growing companies that need audit-ready evidence without a GRC team. It is a good fit when:

  • You are preparing for SOC 2, ISO 27001, NIS2, DORA or a similar framework, or answering enterprise security questionnaires
  • You want the register, risk ratings, sanctions screening and contracts in one system
  • You want to start free and see your vendors assessed the same day, without a sales call
  • You already use a compliance platform such as Vanta or Drata and need its vendor control backed by real evidence

It is not the right tool when:

  • Your main need is purchase orders, invoice matching and spend control: choose a procurement suite
  • You need to hire and pay contingent workers through staffing agencies: choose a contingent-workforce VMS
  • You run a large enterprise programme with dedicated analysts and managed assessment services: look at the enterprise TPRM platforms

Common questions

FAQ

What is vendor management software?+

Vendor management software is a system of record for the companies a business buys from. It keeps one register of vendors with their owner, access, risk rating, contracts and renewal dates, and records every check made on them. Vendor risk platforms add automated screening, ongoing monitoring and exportable evidence for audits and customer due diligence.

What is the difference between a vendor management system (VMS) and vendor risk management software?+

In HR and procurement, “VMS” usually means a contingent-workforce system for hiring and paying contractors through staffing agencies, such as SAP Fieldglass or Beeline. Vendor risk management software instead tracks which vendors could harm the business, what has been checked and the evidence for it. Procurement suites such as SAP Ariba and Coupa are a third category, focused on buying and spend.

What features should vendor management software have?+

For a compliance-led team: a single vendor register, risk classification (inherent and residual), automated sanctions and security screening, contract and renewal tracking, ongoing monitoring with alerts, an attributed audit trail with evidence export, and an offboarding record. Visibility of your vendors’ own suppliers (fourth parties) is increasingly expected too.

How much does vendor management software cost?+

Most vendor risk platforms are quote-only, and enterprise platforms often add implementation or managed-service fees. Vendorapp publishes its prices: a free-forever Basic plan for up to 15 active vendors, then $149, $259 and $599 per month for the Startup, Advanced and Expert plans, with lower prices on yearly billing.

Do I need vendor management software if I already use Vanta or Drata?+

Compliance platforms such as Vanta and Drata include a vendor risk module and will flag the vendor control in SOC 2 or ISO 27001. Whether that is enough depends on how far you need to go: teams that want sanctions screening, contract and renewal tracking, and a dedicated vendor register often run a vendor management tool alongside, and export its evidence into the compliance platform.

What is the best vendor management software for a startup?+

It depends on why you are looking. If you need audit and customer evidence fast with a free tier and published pricing, Vendorapp is built for that. If your compliance programme already lives in a suite such as Vanta or Drata, start with its vendor module. If your need is spend control or contractor hiring, choose a procurement suite or a contingent-workforce VMS instead.
